Transporting over-dimensional cargo (ODC) poses a number of challenges, particularly when time, specialized equipment, and local transportation guidelines need to be taken into consideration.

Our client, who is based in Spain, entrusted us with the task of overseeing a complex oversized cargo project, which required meticulous tracking and precise handling instructions. Their objective was clear: To deliver a million-dollar industrial machine from China to its final destination in Mexico without delay or disruption. The critical variant of this process was time. Since shipment of this heavy-lift cargo intersected with the year-end holiday season, planning was especially complex due to market demand.

Faced with the potential for significant financial losses due to production line downtime, they wisely turned to our team for assistance.

The Objective:

With a strong commitment to safety, our focus was to minimize risks to equipment during transportation. We carefully selected the appropriate method to maneuver oversized loads without compromising equipment integrity.

Oversized Cargo Shipments: From Special Permits to Precise Execution

Embarking on the task of transporting a massive, over-dimensional machine weighing five tons from China to Mexico was no ordinary feat. The complexity of the project stemmed from the need to secure special oversized cargo permits from the Chinese port, as the machine’s size posed risks for both land and sea transportation. It became crucial to find a maritime container that could accommodate its dimensions so that the machine could be shipped in its entirety without the need for dismantling.

Vector’s effective pre-planning emerged as a cornerstone for the success of this cargo project, particularly when confronted with the task of handling a heavy-lift industrial machine. This endeavor demanded a detail-oriented, comprehensive approach, encompassing the seamless coordination of permits, documentation, and transportation arrangement.

The absence of meticulous planning could have led to consequential errors, adding substantial costs for our client, and compromising the safety and security of the oversized cargo. However, the Vector team’s skilled partners effectively handled local needs and maintained global connections, coordinating with the central team in Spain.

  • The team carefully assessed port conditions, identifying potential obstacles that could emerge along the way. The bustling Port of Manzanillo, known for its congestion, presented a particular challenge. Expert management and skilled navigation were essential to tackling these hurdles adeptly.
  • Strict safety regulations governing oversized cargo needed to be carefully considered. The team evaluated weather conditions and precise air speed measurements to ensure a secure and efficient unloading process.
  • The result was a successful delivery of the cargo, on time and without incident. The team’s expertise and skilled execution ensured that the project was a success.

The Oversized Cargo Arrived, but the Challenge Continued

Once the industrial equipment successfully docked at the Manzanillo port, a new challenge emerged in the equation: The restrictions imposed by the Mexican government on transporting oversized cargo. The task at hand was to transport the cargo from the port to the heart of the country, specifically in the state of San Luis Potosi.

Nighttime and weekend transport were prohibited, and a special license was required for moving over-dimensional cargo—which expired after 24 hours. Any lack of knowledge regarding these regulations could have led to substantial delays and additional fees.

Fortunately, the exceptional network of suppliers and relationships built by the team proved invaluable in this situation. Through the Vector team’s established connections, they were able to acquire the necessary permits within a remarkably short timeframe.

Next was the issue of finding suitable transport. Based on the measurements and weight of the cargo, the team determined a 14-ton capacity crane would ensure the safe transport of the oversized cargo. However, these cranes were not readily accessible, given their high demand and limited availability. Even given this additional challenge, though, the team was not willing to compromise the safety of the cargo by opting for another transport vehicle that could pose a risk.

As a result of the team’s careful maneuvering and a 486-kilometer journey, limited to a maximum speed of 80 km/h, the assembly machine arrived at their plant without any incidents! It is worth emphasizing again that time played a crucial role, adding pressure to the operational process, but the team delivered on their committed delivery time, which further speaks to their dedication to our client.

In the end, the cargo arrived in pristine condition, ready to be seamlessly integrated into the client’s operations and further contribute to their ongoing success. This triumph stands as a testament to the team’s commitment to excellence and their ability to deliver exceptional results even under challenging circumstances.

As an international leader in shipping and logistics, Vector is highly experienced in overcoming unique challenges in the automotive industry. And the combination of a global pandemic and congested shipping lanes across land, air, and sea has demanded more creative solutions than ever before.

This Unprecedented Situation Required a Unique Solution

The automotive industry is one everyone knows, but few understand the complexity of the supply chain and how to maximize efficiency and productivity in a timely manner.

 

In March 2022, we customized a solution to meet our individual client’s needs, helping international auto parts and car manufacturer brands in Mexico overcome a logistics nightmare brought on by the pandemic:

 

  • The client was unable to transport their goods by truck due to a major highway closure.

 

  • Their customers needed the auto parts urgently to fulfill order obligations.

 

  • The global pandemic continued to make shipping extremely complicated.

 

Usually, our client would be able to use the highway between Queretaro and Aguascalientes in Mexico (El Bajio) to Puebla, where cars are assembled for distribution. Typically this is a 335-614km journey by truck that can be done in four to seven hours, depending on the route and city of origin. It should have been a simple logistic problem only requiring a truck or two.

What made this logistics challenge so unique was the series of events that led up to our involvement. Our client needed to move their automotive parts as quickly as possible to fulfill their own obligation to the manufacturers. However, two major roadblocks needed to be overcome:

 

  • The main highway they would use for the normal distribution of parts was shut down, effectively cutting off their service.

 

  • A 5.7 magnitude earthquake hit Veracruz, causing warning alarms all over Mexico City.

 

These two issues created quite a speed bump. The Vector team working on this project already had to request special expedited flight permits because helicopters are not supposed to fly during the night in the area. Additionally, the local government was handling the aftermath of an earthquake that knocked out communication with the major flight tower. And of course, the global pandemic was still causing health and safety issues.

 

With a series of helicopters, we were able to ship parts by air and keep production going at automotive companies in the area.

 

Vector’s operations team was able to secure permits to ship the goods via helicopter. We cleared safe areas to make air shipping routes possible for all pickup locations, ensuring that each aircraft met weight and safety regulations while still being load balanced so as not to put pilots at risk!

Once again, our operations team snapped into action and began to immediately coordinate with local providers that, to us, are heroes for their professionalism during a truly once-in-a-lifetime series of challenges.

Our goal was to complete this order within five days. On day one, we made five movements of shipped auto parts via helicopter. Ultimately, due to the incredible efforts of local partners, Vector logistics team, and excellent service and communication with our clients, we completed the expedited auto parts delivery in less than four days.

 

Besides handling all of the challenges from nature and physical locations of delivery, we managed the weight distribution and calculated what could be moved inside each helicopter. Load balancing is a serious concern with helicopters, even in larger models like we were able to secure.

 

All deliveries were made under the proposed time limit and because of the strong partnerships made in the local community. Our role in this expedited project was guiding the teams we worked with who put in a huge effort to succeed in delivery.

 

The positive outcome of this project has led not only to a great point of experience for our team but new partnerships within the automotive industry were achieved because of the high-quality customer service and ability to get the job done with innovative solutions.
